FARGODOME Authority - November 28, 2017 Minutes
A regular meeting of the Fargo Dome Authority was held on Tuesday, November 28, 2017 at 3:30 p.m. in the FARGODOME Administrative Office with President David Suppes presiding.
Members present: President David Suppes, Blake Nelson, Nancy Jordheim, Troy Goergen, Dan Armbrust and Michael Ellingson.
Members absent: Darrell Vanyo
Others present: Sarah Tabery, Director of Marketing and Sales – FARGODOME; Susan Thompson, Director of Finance – FARGODOME; Bernie Larson, Assistant General Manager – FARGODOME; Amanda Muellenbach, Administrative and Auxiliary Services Manager - FARGODOME and Rob Sobolik, General Manager – FARGODOME.

President David Suppes called the meeting to order at 3:32 p.m.
Dan Armbrust made a motion, seconded by Troy Goergen, to approve the agenda of the November 28, 2017 Fargo Dome Authority meeting as presented. Motion carried.
Blake Nelson made a motion, seconded by Nancy Jordheim, to approve the minutes from the October 31, 2017 Fargo Dome Authority meeting. Motion carried.
Rob Sobolik presented the General Manager’s report as follows:
• Year-to-Date Net Income through October 2017 is stated at $505,012 which is a positive variance (to budget) of $109,018.
• Upon review, Blake Nelson made a motion, seconded by Michael Ellingson, to approve the October 2017 financial statements as presented.
On call of the roll, Armbrust, Ellingson, Goergen, Jordheim, Nelson and Suppes voted aye.
Absent and not voting: Vanyo
The motion was declared carried.

Blake Nelson and Troy Goergen presented the Fargo Dome Authority Building and Finance Committee report. The Fargo Dome Authority Building and Finance Committees met on Tuesday, November 21, 2017. Items discussed included:
• October 2017 Financial Statements: The October 2017 Financial Statements
were approved by the Finance Committee at the meeting on November 21, 2017.
• RFP Approvals/Notices:
o Janitorial Supplies – Susan provided an overview of the responses for the RFP for janitorial supplies. Please see attachment. Cole Papers and Dacotah Paper Co won the bids. The contract term with each company will be one year with options to renew for another one-year term for the next two years.
The Finance Committee accepted a motion to approve the bids from Cole Papers and Dacotah Paper Co as presented.
o SSP – Tables/Chairs/Stage Decks – Rob requested a sole source provider request for purchasing tables, chairs and stage decks for a period of three years. FARGODOME has tables purchased from MityLite, Clarin by Hussey chairs and stage deck from Stage Right. Rob noted that since they would be replacing some of the items in each category, but not all, he would like to keep the replacement items the same as the current items so they will continue to work together.
The Finance Committee accepted a motion to approve a sole source provider for the purchase of tables, chairs and stage decks for the next three years.
o SSP – ArenaNetwork – Rob requested that FARGODOME enters into a membership agreement with ArenaNetwork, a consulting membership group. ArenaNetwork is made up of venues that work together to increase visibility and increase venue booking. The cost of membership is $27,500 per year and there is a 90-day cancellation policy to end the membership.
Rob noted that a consulting agreement was not in the 2018 capital budget, however, membership dues could be paid out of the operating budget and offset with the additional NDSU football game that is scheduled in 2018 that was not budgeted.
The Finance Committee accepted a motion to approve FARGODOME membership with ArenaNetwork for 2018.
o Food Purveyor – Responses to the RFP will be in by the end of the week. There is no Building or Finance Committee meeting scheduled in December, so the bid responses will go straight to the Authority meeting on December 11, 2017 for approval.
o Rob noted that he is currently working on an RFQ for building upgrades. This item will be further discussed at upcoming meetings. Blake Nelson made a motion to approve the Building and Finance Committee report as presented.
